Privacy Policy

1. Who we are

NilePhase Energy (operated by NilePhase Engineering Ltd, registered in Uganda) designs, installs, commissions and maintains solar and hybrid power systems. This policy explains what information we collect through nilephase.com and related channels, and how we use it.

2. What we collect

We only collect information you give us, plus the technical data every website receives.

• Information you provide — name, phone number, email, site location, service needed, and any notes you send via our quote form, contact form, WhatsApp, or email.
• Technical data — IP address, browser and device type, pages viewed, referrer, and visit timestamps. Collected by our hosting provider (Cloudflare) and analytics tools below.
• Cookies and similar technologies — small identifiers stored by your browser to remember preferences and measure site performance. You can dismiss our cookie notice or clear cookies in your browser at any time.

3. Third-party tools we use

To run the business we rely on a short list of vendors. Each receives only the data needed for its function:

• HubSpot — our CRM. Quote and contact form submissions are sent to HubSpot so we can reply and track the conversation. HubSpot also sets a tracking cookie (hubspotutk) to attribute your enquiry to how you found us.
• Formspree — a backup form-delivery service we use if HubSpot is unreachable.
• Google Analytics 4 — aggregate visitor statistics. IP addresses are anonymised.
• Microsoft Clarity — session recordings and heatmaps that help us improve the site. Clarity masks keystrokes and sensitive fields by default.
• Cloudflare Pages — hosting and content delivery. Cloudflare receives request metadata.
• WhatsApp (Meta) — if you message us on WhatsApp, that conversation is governed by WhatsApp's own privacy terms.

4. Why we use your information

• To reply to your enquiry and prepare an itemised quote.
• To schedule and deliver site visits, installations, commissioning, and maintenance.
• To send service-related messages (quote follow-ups, commissioning reports, maintenance reminders).
• To measure site performance and improve content.
• To meet legal, tax, and regulatory obligations in Uganda.

5. Sharing

We do not sell or rent your information. We share it only with:

• The vendors listed in section 3, acting as our processors.
• Sub-contractors or suppliers when required to deliver a specific project (e.g. a panel supplier needs a delivery address).
• Authorities where required by Ugandan law.

6. How long we keep it

We retain enquiry records for up to 24 months after the last interaction. Completed project records (including handover packs, commissioning reports and warranty paperwork) are retained for the warranty period plus 24 months, so we can honour support claims. You can ask us to delete earlier than that — see section 8.

7. Security

Traffic to our site is encrypted with HTTPS. Our CRM, email and cloud services enforce access control and two-factor authentication. No service is 100% secure — if you believe your information has been compromised, contact us immediately.

8. Your rights

You can ask us to:

• Show you what information we hold about you.
• Correct anything that is wrong.
• Delete your information, unless we need to keep it for a legal or contractual reason.
• Stop using your information for marketing.

To make a request, email privacy@nilephase.com. We reply within 14 days.

9. Children

The site is not directed at children under 16. We do not knowingly collect information from them.

10. Changes

If we materially change this policy, we update the "Last updated" date above and, where appropriate, notify you by email.
